Urgent care scheduling
Urgent care has the longest opening hours of any outpatient setting, demand that varies predictably by day and unpredictably by week, and a staffing pool that is mostly not full-time.
Variable staffing by day
Monday evening and Tuesday morning are different problems. Each shift template carries its own staffing requirement, so a schedule can be built to the demand pattern rather than to a flat level — and a seasonal change is a change to the templates, not to every week by hand.
A pool that is mostly part-time
Per-diem and part-time staff dominate, which has two consequences.
First, fairness is proportional rather than equal: a per-person share means a 0.4 clinician's numbers are measured against 0.4 of a share.
Second, availability is the binding constraint. Request periods are where that is collected: a window opens, staff say when they can work, the window closes, and the generator builds from what it has.
Time-off requests and request periods
Open shifts instead of a phone round
The usual way a per-diem pool is staffed is a weekly round of calls and messages. It works, and it has the same two costs everywhere: the same people get asked first, and nobody can see that it is happening.
Building the schedule from committed staff and offering the remainder as open shifts replaces the round with something visible. Everyone eligible sees the shift at the same moment, claims are first-come, and the distribution of picked-up shifts shows up in the tally like anything else.
That last part is usually the surprise: a group discovers which two people have been absorbing most of the short-notice cover.
Late and weekend load
Long opening hours mean evenings and weekends are a large share of the total, so "who works evenings" is the fairness question rather than a detail. Each is a counted burden with its own tally and its own window.
Common questions
How does it handle a per-diem pool?
Per-diem staff are usually best handled through open shifts: the schedule is built from the committed staff, and the remaining shifts are offered to everyone eligible and claimed first-come. That replaces the weekly round of calls and makes the distribution of extra shifts visible.
Can staffing levels vary by day of week?
Yes. Each shift template carries its own requirement, so a Saturday can be staffed differently from a Tuesday without maintaining two schedules.
